Partnership and Events Coordinator
What You’ll Do
PIVOT is seeking a dynamic and highly organized Partnerships and Events Coordinator to join our team. This role is perfect for someone who thrives at the intersection of prospecting, project management, and creative execution—someone who can bring structure to fast-moving ideas while maintaining a strong focus.
The ideal candidate is energized by building relationships and developing outreach strategies to connect with school leaders, funders, and potential partners. You’ll be responsible for researching and identifying strategic contacts, crafting compelling communications plans, and managing tools to turn cold audiences into active partners. Your work will be foundational in building a robust lead pipeline.
In this role, you’ll also lead the planning and execution of content and communications—developing content calendars, designing marketing materials, and managing social media. You’ll ensure all our content efforts are aligned with strategic goals, and you’ll use feedback and performance data to drive continuous improvement.
A creative eye for design and branding is also a must—you’ll help ensure our materials, website, and branding align with our mission and resonate with our partners. Experience with RFPs and grant proposals is a plus—we value someone who can manage the RFP response process by diagnosing the components of a successful submission, and project managing the team through to its deadlines.
Responsibilities
1. Develop partnerships
• Research K12 leadership development market and key segments for PIVOT’s work, identifying key decision makers
• Develop professional communications to demonstration PIVOT’s value and engage its audience
• Schedule initial consult meetings for Head of Partnerships with key decision makers
• Track activity and maintain accurate records in company CRM
2. Content planning and execution
• Collaborate with Head of Partnerships to build overall content strategy and calendar
• Project manage content creation with internal and external partners
• Design marketing assets for print, website, Email Blasts and social media
• Manage all of PIVOT’s social media activity
3. Research
• Research educational leadership landscape and stay up to date on key areas of focus
• Research relevant organizations and events for partnerships, evaluating engagements for sponsorships or thought leadership
4. Design
• Serve as PIVOT’s main creative designer, creating all marketing assets for our website, social media, etc.
• Develop branding guidelines for our organization across multiple usages
• Update website content when necessary
5. RFP/Proposal/Grant Writing
• Use PIVOT’s RFP subscription service to identify relevant opportunities to pursue
• Project manage RFP response process by identifying and collaborating with the team, communicating key expectations and deadlines
• Review RFP awards learning from non-reward and other vendor submissions
6. Event Planning/Execution
• Prepare booth display materials and giveaways for conferences
• Coordinate logistics and vendor communications for in-person and virtual events (e.g., venue, catering, AV, printing)
• Project manage lead-up and post-event activities for internal program events and external partnership conferences
• Create and manage event timelines, run-of-show documents, and checklists to ensure seamless execution
• Track event budgets and support expense reconciliation
• Support event registration processes, including outreach, confirmations, and follow-up communications
• Capture photos, testimonials, or quotes for use in social media and post-event reporting
• Ensure timely shipping, delivery, and return of materials and supplies
• Ensure participant experience is professional, fun, and memorable
7. Contribute to organizational growth and collaboration
• Participate in PIVOT team meetings, retreats, and monthly in-person workdays in Nashville, TN
• Travel up to 30%; work from home when not traveling
• Engage in cross-functional efforts when needed including business development, fundraising, networking, and thought leadership to support PIVOT’s growth

Who We’re Looking For
Deep commitment to PIVOT’s mission, vision, and values as well as equity and student outcomes
At least 3 years of experience in a project management, partnerships, design, or comparable experience in another role
Strong technical knowledge of related systems and software (ex. Asana, Canva, Salesforce, MailChimp, etc.)
Exceptional interpersonal skills and the ability to build trust quickly
Strong written and oral communication skills
Detail-oriented, highly organized, self-directed, with great follow-through
Responsive to feedback
Flexibility to travel regularly
Ability to work independently and remotely with excellence
Desire and skillset to collaborate with other team members
Required experiences:
3 years of relevant experience or comparable experience in another role
Preferred experiences and qualifications:
Skilled in design software
Skilled in project management software
Skilled in sales communications, outreach

Salary range: $50,000-$70,000 plus a benefits package that strives to care for our people in alignment with our values
Location: Middle TN. Must be in Nashville, TN, in-person once a month.

We have a specific niche in school improvement and turnaround work, especially schools with federal improvement designations.
